Enrolment and Customer Policies Guide

Effective 1 October 2026​

This Guide sets out the conditions that apply to enrolments, payments, attendance and use of Swim Mechanix services and facilities. It applies at all Swim Mechanix locations and at third-party facilities from which Swim Mechanix delivers programs.

By accepting this Guide, enrolling a swimmer or continuing to participate after being notified of an update, you agree to comply with these conditions. Separate privacy, child safeguarding and waiver documents may also apply.

1. Enrolments

Enrolment requests are subject to class availability, appropriate swimmer level, staffing, facility capacity and approval by Swim Mechanix.

An enrolment is confirmed when Swim Mechanix approves it and the required payment or authorised payment arrangement is in place.

Swim Mechanix may move a swimmer to another suitable class following assessment, consultation or progression, or where reasonably required because of enrolment levels, class viability, staffing, timetable changes or other operational requirements. Where practicable, we will consult with the customer and provide reasonable notice before making the change.

A place is not guaranteed by submitting a request, joining a waitlist or attending a trial.

Customers must keep contact, emergency, medical and payment information current in the Customer Portal.

​

2. Fees and payment

Fees are payable in advance under the billing option offered and selected for the enrolment.

​

Customers may pay for a full term in advance or use monthly automatic payments from a nominated bank account or payment card, where available.

​

For monthly billing, charges are raised on or around the 15th and processed on or around the 28th for lessons in the following month. Dates may vary because of weekends, public holidays or banking requirements.

Monthly charges reflect the number of scheduled lessons in that month. Published public holidays and scheduled program breaks are excluded.

Customers must ensure sufficient cleared funds or available credit are present before the processing date.

From 1 October 2026, eligible card payments do not attract a card surcharge. Failed payment fees may apply as set out in the Automatic Payment Agreement Terms.

Where an outstanding balance remains unpaid, Swim Mechanix may prevent further bookings or participation until the account is brought up to date. Customers will ordinarily be contacted before an enrolment is cancelled for non-payment

3. Continuing Enrolment

  • Regular lesson enrolments continue automatically from one term or billing period to the next unless the customer cancels the enrolment in accordance with this Guide. Customers do not need to re-enrol for each new term.

  • Fees will continue to be charged under the customer’s selected billing arrangement while the enrolment remains active.

  • Continued enrolment is subject to the customer’s account remaining current, the program continuing and the class remaining suitable for the swimmer.

  • Class times, teachers, program structures and locations may change between terms or billing periods. Swim Mechanix will provide reasonable notice of changes where practicable and may offer another suitable class where necessary.

  • Instructors may be substituted temporarily or permanently. A change of instructor does not entitle the customer to a refund, account credit or Make-up Token, provided a suitable lesson continues to be delivered.

  • Holiday Programs, trials and other programs identified as fixed-term or one-off bookings do not continue automatically unless Swim Mechanix advises otherwise.

  • Trial lessons, promotional offers and introductory bookings are subject to any additional conditions stated at the time of booking.
     

4. Cancelling or Changing an Enrolment

  • To cancel an enrolment and prevent the next scheduled payment, notice must be received by Swim Mechanix two business days before the next scheduled debit date.

  • Cancellation notice must be submitted through one of the following channels:

    1. A Student Enrolment Drop Request through the Swim Mechanix App or Customer Portal

    2. In writing to hello@swimmechanix.com.au

    3. In writing through the Contact Us form on the Swim Mechanix website.

    4. A telephone call to 08 6255 7740.

  • A voicemail, SMS or social-media message does not constitute formal notice of cancellation.

  • Cancellation takes effect when the request is received by Swim Mechanix, not when the swimmer last attends.

  • Where notice is received before the next scheduled debit date, that payment will not be processed and the enrolment will end at the conclusion of the period already paid for.

  • Where notice is received after a scheduled payment has been processed, the cancellation will apply from the following billing cycle. Fees already paid or otherwise due are not refundable, and the swimmer may continue attending until the end of the paid period.

  • Stopping, disabling or disputing an automatic payment does not constitute notice of enrolment cancellation.

  • Requests to change a swimmer’s class, day, time or location are subject to suitability and availability. A class-change request does not constitute notice of cancellation.

  • Enrolments cannot be placed on hold unless Swim Mechanix agrees in writing because of exceptional circumstances.

  • Swim Mechanix may cancel an enrolment because of persistent non-payment, prolonged unexplained non-attendance, unsafe or disruptive conduct, or a serious or repeated breach of these policies. Where appropriate, Swim Mechanix will provide reasonable notice and an opportunity to address the issue.
     

 

5. Absences and Make-up Tokens

Make-up Tokens are a flexible benefit offered for eligible absences. They do not guarantee a replacement lesson.

  • An absence must be submitted through the Swim Mechanix App or Customer Portal before the scheduled class commences.

  • Absences reported by phone, email, in person or after the class has commenced do not qualify. Tokens are not issued retrospectively or manually.

  • An eligible token is issued after the missed class has occurred. Tokens are not issued in advance.

  • There is no limit to the number of tokens that may be issued for eligible absences.

  • Each token expires 90 days after issue. Expired tokens are not reinstated or extended.

  • Make-up classes may be booked up to 14 days in advance and are subject to availability.

  • A regular teacher, day, time, class or location is not guaranteed. Tokens may be used across Swim Mechanix locations when a suitable place is available.

  • The swimmer must have a current active enrolment or a confirmed and paid future enrolment to use a token.

  • Families are responsible for selecting a class suitable for the swimmer's current level.

  • If a swimmer misses a booked make-up class, the token is forfeited and no replacement token is issued.

  • Tokens have no cash value and cannot be refunded, transferred to another family or applied as a credit against fees.

  • Tokens cannot be used for Holiday Programs unless Swim Mechanix expressly offers this under a separate promotion.

  • Swim Mechanix may change or cancel a make-up booking where reasonably necessary, including when the space is required for a permanent enrolment or for operational reasons. If Swim Mechanix cancels, the token will be returned with its original expiry date.

  • If Swim Mechanix cancels the booking, the Make-up Token will be returned to the swimmer's account and the expiry date may be extended.
     

6. Illness and medical absences

  • Swimmers and accompanying adults must not attend when unwell, contagious or subject to a public-health exclusion requirement.

  • Do not attend if experiencing vomiting, diarrhoea, fever or other symptoms that may create a health risk in an aquatic environment. Follow current health-professional or public-health advice about when it is safe to return.

 

  • When to Stay home:

For the safety of all participants and staff, swimmers must refrain from attending lessons if experiencing illness. The below can be used as a guideline:

Chickenpox: 7 days after lesions are healed

Ringworm: After treatment is successful

Diarrhea: Two weeks after the bout is over

School Sores: When lesions are fully healed

Measles: 7 days after the rash appears

Whooping Cough: 4 weeks after bout

Mumps: 14 days after symptoms clear

Conjunctivitis: When symptoms have cleared

Cold/Flu: When symptoms have cleared

Vomiting: When bout is over

Gastroenteritis: 72 hours following the last symptoms

  • Swim Mechanix may refuse participation or ask a person to leave where staff reasonably believe attendance presents a health or safety risk.

  • Ordinary short-term illness is managed through the Absence and Make-up Token rules.

  • For a serious medical condition or extended medically required absence, a customer may request special consideration in writing. Supporting medical information may be required. Any credit, pause or adjustment is assessed case by case and is not automatic.
     

7. Late arrival and leaving early

  • Arrive in time for the scheduled class. A swimmer who arrives more than 10 minutes late may be unable to participate because of safety, warm-up and class-continuity requirements.

  • Late arrival, early departure or partial attendance does not qualify for a token, refund or credit.
     

8. Cancellations or Changes by Swim Mechanix

  • Swim Mechanix may cancel, relocate or modify a lesson because of instructor unavailability, facility issues, unsafe conditions, emergency directions or other operational circumstances.

  • Instructors may be substituted temporarily or permanently. A change of instructor does not entitle the customer to a refund, account credit or Make-up Token, provided a suitable lesson continues to be delivered.

  • Customers will be notified as soon as reasonably practicable through available contact channels.

  • Where Swim Mechanix cancels a paid lesson and does not provide a suitable replacement, an account credit will generally be applied. A refund may be requested where required by law or where Swim Mechanix agrees it is appropriate.

  • Swim Mechanix is not responsible for indirect costs associated with a cancellation, such as travel, parking, accommodation or lost time, except where liability cannot lawfully be excluded.
     

9. Refunds and credits

  • No refund or fee credit is provided for a customer absence, missed lesson, late arrival, early departure or change of mind, except where required by law or expressly provided under these policies.

  • Unused or expired Make-up Tokens are not refundable and cannot be converted into account credit.

  • Requests arising from exceptional circumstances must be made in writing and are considered case by case.

  • Nothing in this Guide excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.
     

10. Supervision and facility use

  • A responsible adult must supervise every child under 12 before, during and after lessons, including in waiting areas and changerooms. The responsible adult must remain at the facility unless Swim Mechanix has expressly confirmed another arrangement.

  • Parents and carers remain responsible for siblings and other children in their care who are not participating in a class.

  • Participants and visitors must follow staff directions, safety signs and facility rules and must only use the pool or equipment as directed.

  • The pool is not available for recreational use before or after lessons unless Swim Mechanix expressly permits it.

  • At third-party venues, customers must also comply with the venue owner's rules and must not use school, playground or other equipment outside the areas made available to Swim Mechanix.
     

11. Pool cleanliness

  • Participants who are not fully toilet trained must wear a purpose-made swim nappy with bathers over the top.

  • Swim caps are required unless an exemption is agreed for a medical, disability or sensory reason.

  • Goggles are encouraged, although instructors may include supervised goggle-free activities for water-safety skill development.

  • Food must not be consumed in the pool hall or other restricted areas. Customers must remove or correctly dispose of their rubbish, including nappies.

  • Customers must follow any location-specific hygiene, footwear, showering and changeroom requirements.
     

12. Child safety, photography and devices

Swim Mechanix is committed to providing a child-safe environment. Our Child Safety and Wellbeing Policy and Photography and Video Policy are available on the Swim Mechanix website.

  • Parents and guardians are responsible for supervising children before and after their scheduled lesson and in changerooms, unless Swim Mechanix has expressly accepted responsibility for supervision.

  • Children must not be left unattended at a Swim Mechanix facility outside their supervised lesson or activity.

  • Customers must follow staff directions and all facility and child-safety requirements.

  • Relevant custody, protection, access, disability, medical, cultural or support information must be provided confidentially to Swim Mechanix where it may affect a child’s safety, participation, collection or care.

  • Customers must comply with any court order or legal restriction affecting a child’s care, contact, collection or participation.

  • Photography or recording is only permitted with prior approval from Swim Mechanix and must be limited to your own child.

  • Other children must not be photographed, recorded or identifiable without appropriate consent from their parent or guardian.

  • Customers must not photograph or record Swim Mechanix staff without their consent.

  • Recording an entire class or live streaming a lesson or activity is not permitted without prior written approval from Swim Mechanix.

  • Photography, video recording, audio recording and live streaming are strictly prohibited in changerooms, bathrooms and other private areas.

  • Mobile phones, cameras and other recording-capable devices must not be used in changerooms, bathrooms or other private areas.

  • Camera-equipped smart glasses and hidden, concealed or disguised recording devices must not be worn or used at Swim Mechanix facilities or activities, regardless of whether the recording function is said to be turned off.

  • Customers must stop photographing or recording when directed by Swim Mechanix staff.

  • A person who does not comply may be directed to remove the device, stop recording or leave the facility.

  • Any child-safety concern may be raised with a Swim School Coordinator, another Swim Mechanix staff member or by emailing hello@swimmechanix.com.au. Concerns will be taken seriously and handled in accordance with the Swim Mechanix Child Safety and Wellbeing Policy.

  • If a child is in immediate danger, contact emergency services on 000.

13. Conduct

  • Customers, participants and visitors must treat staff and others respectfully and must not engage in abusive, threatening, discriminatory, intimidating or unsafe behaviour.

  • A person may be directed to leave or have services suspended or ended where conduct creates a safety risk, disrupts lessons or seriously breaches these policies.

  • Swim Mechanix may contact emergency services or relevant authorities where reasonably necessary to protect a child or another person.
     

14. Emergencies

  • Follow staff instructions during medical incidents, evacuations, pool closures or other emergencies.

  • Swim Mechanix may provide first aid and seek ambulance or other emergency assistance where staff reasonably consider it necessary. Associated third-party costs remain the responsibility of the participant or parent or guardian.
     

15. Communications

  • Customers must maintain a current email address and mobile number and monitor relevant email, SMS, App and Customer Portal notifications.

  • Operational, billing, safety and enrolment communications may be sent through any available contact channel even where a customer has opted out of promotional marketing.

  • Swim Mechanix aims to respond promptly, but stated response targets are not guarantees.
     

16. Privacy

  • Swim Mechanix collects and uses personal, health, emergency contact, attendance and payment information to administer services, communicate with customers, support safety, process payments and meet legal obligations.

  • Information may be handled by service providers that support enrolment, payments, communications, accounting, customer service and business operations.

  • Personal information is handled in accordance with the Swim Mechanix Privacy Policy and applicable law.
     

17. Feedback and complaints

  • Feedback or complaints may be submitted through the Contact Us page, Customer Portal or the email address published by Swim Mechanix.

  • Provide enough information for the matter to be investigated. Swim Mechanix will acknowledge and address concerns within a reasonable timeframe having regard to their nature and urgency.
     

18. Changes to these policies

  • Swim Mechanix may update these policies to reflect changes to services, systems, costs, risks or legal obligations.

  • Material changes will be communicated before taking effect where reasonably practicable or where required by law.

  • Certain programs, promotions or bookings may have additional written terms and conditions. These additional conditions apply together with this Guide.

  • If there is an inconsistency between this Guide and the additional conditions, the specific conditions for that program, promotion or booking will apply to the extent of the inconsistency.

  • The Swim Mechanix Privacy Policy, Child Safeguarding Policy, Automatic Payment Agreement Terms and Participation Risk Acknowledgement and Waiver apply separately where relevant.
     

21. Acceptance

By accepting this Guide, you confirm that you have read and understood it and agree to ensure that each swimmer and visitor in your care complies with the applicable requirements.
